Public Relations

• Waxahachie ISD offers limited advertising opportunities within its athletic facilities and on its athletic website. These opportunities are managed by the Waxahachie ISD Athletic Department and/or the athletic booster clubs. Email the Athletic Director, Brian Rogers, for further information on athletic advertising.
• At the campus level, there may be specific event sponsorship opportunities available through the PTO or the campus itself, which could include advertising on items such as t-shirts or event-specific signage. These opportunities will be evaluated on a campus-by-campus basis. If you are interested in campus sponsorships but do not have an existing relationship with a campus, the Office of Public Relations is available to assist in making introductions.
• At this time, the district does not provide any additional advertising opportunities.

• Coupons or incentives must receive prior approval from the Office of Public Relations before being distributed to campuses. This requirement includes branded items, such as pencils, pens, lanyards, etc.
• Upon approval, coupons or incentives must be pre-counted and labeled by the respective campus and then delivered to the Waxahachie ISD Administration Building. The Office of Public Relations will handle distribution to the campuses.
• Campus principals have the authority to decide the appropriate usage and timing of coupons and student incentives. These items should not be sent home in bulk within student folders.
• Student coupons or incentives must be completely free of charge to the student, and there must be no requirement for the student, parent, or guardian to purchase to receive the free item.
• Employee coupons or incentives are distributed at the Office of Public Relations' discretion.
• If a business is interested in providing something to employees of a specific campus, such as a campus-wide meal or snack for employees, it should contact the campus principal to make arrangements for a date and time. No business sales or solicitation may happen as a part of this event, but representatives of the business may stay on campus to greet employees and help serve.

Employees, as well as their family members who own businesses, are prohibited from utilizing school facilities or district time for the promotion of these businesses. This policy encompasses activities such as the delivery of ordered products, the operation of "pop-up boutiques" on district property, and the use of district email accounts for promotional purposes.

• Non-school literature, including flyers, postcards, brochures, posters, and similar materials, may only be distributed by non-profit organizations. These organizations must provide a copy of their 501(c)3 tax designation.
• All non-school literature must receive approval from the Office of Public Relations before distribution. Call (972) 923-4631 for assistance.
• All non-school literature must include the following disclaimer statement printed at the bottom of the document in bold, capital letters: “This organization and its activities are not related to or sponsored by the Waxahachie Independent School District.”
• Non-school literature is not permitted to be sent home in student folders, but may be placed on information tables (up to fifty items) or digitally distributed by the District via ParentSquare communications.
• Once approved by the Office of Public Relations, pre-counted stacks of 50 documents may be delivered to the Waxahachie ISD Administration Building for each of the fifteen campuses. The Office of Public Relations will then distribute these items to the respective campuses.

Waxahachie ISD highly values its partnerships with businesses and organizations within the community. In recognition of these relationships, there may be occasions when a business wishes to leverage its connections with the district for marketing purposes. To ensure fairness and equity in all partnerships, the district has established the guidelines listed below.

Non-school-related posters or banners are prohibited from being displayed in any Waxahachie ISD facility, and non-school-related yard signs or banners are not permitted on any Waxahachie ISD property.

No business or entity is permitted to sell products or solicit business from employees, students, or their families on any Waxahachie ISD campus.

• There is considerable value for both students and employees in acquiring expertise from community partners. However, any presentation by a business to students, parents, or employees must solely aim to convey information, not to promote the business.
• Presentations to students should complement their classroom education and align with state standards appropriate for the respective grade level. Business products or services should not be mentioned. While presenters may introduce themselves by sharing their credentials and business affiliation, they must avoid further references to their specific business.
• For presentations to parents or other adult groups, such as Lighthouse for Learning, the content must be strictly informational and not serve as a means to solicit business.
• Although businesses are prohibited from soliciting on campus, there are occasions when it may be appropriate to present certain topics, such as continuing education or retirement plans, to employees. These opportunities are limited and require prior approval from the Office of Public Relations, followed by approval from the campus principal.
